How To Build Trust In Outsource Accounting?

Like every business relationship, trust is the key for an outsourcing relationship to thrive and prosper. A relationship of mutual trust and professional commitment always ensure a winning position for both the parties involved in the Outsource process. And both the parties have role to play in creating this environment of trust.

3) Implementing stage: At the point of implementation, it is the vendor who has the entire responsibility to ensure that the environment of trust which is the key to the success of t he relationship is maintained. Two points which score the most in this regard are:

>Quality of services: Being at the charge of the things, it should be ensured by him to deliver on the agreed standards of quality. He should imbibe the best management practices and provide the most efficient staff to achieve this end. Also it should be ensured that the project is completed and delivered in the assigned time limit

> Data Security: Data security is the most important concern clients have in mind while outsourcing critical functions like accounting. The vendors should ensure that they take adequate precautions in this regard to instill faith in the clients. Generally data security can be covered under these broad heads

i) Data transfer security: Accounting outsourcing involves the transfer of files that contain sensitive information. Vendors should use the best technology available to ensure secure transfer of data. Use of secured servers for the purpose eliminates the chances of data loss.

ii) Work station security: Proper measures at the work stations like use of dual monitors that creates a paperless environment and thus transportability of vital data, limited internet access to employees, no scope of using external drives, firewall protected network ensure that data remain well inside the office or are not lost.

iii) Employee Credibility: Employee credibility is the single most important issue
that if taken taken care properly solves most of the data security concern.It is the Vendor's responsibility to ensure that capable employees with proven track record are deputed for an accounting assignment.

4) After completion of the project: Once a project is completed both the vendor and customer should evaluate their respective stands on the entire process. They should discuss to remove any bottlenecks that might have arisen in the process and approaches that should be adopted to make the process smother to work out.

Trust is the most important key of an outsourcing relationship. However it is not possible that it develops overtime. The perception of trust towards the entire outsourced accounting process depends entirely on past experience.
